Job Summary
The Payroll / Accounts Payable (AP) Specialist is responsible for accurately processing payroll and managing accounts payable functions, ensuring timely payments to employees and vendors. This role requires strong attention to detail, knowledge of accounting principles, and compliance with federal, state, and company policies.
Key Responsibilities
Payroll Duties
- Process biweekly/semimonthly payroll for employees, ensuring accuracy and timeliness
- Maintain payroll records, including wages, deductions, and tax information
- Ensure compliance with federal, state, and local payroll regulations
- Manage employee timekeeping systems and resolve discrepancies
- Prepare and file payroll tax reports (e.g., W-2s, 1099s)
- Coordinate with HR on employee changes such as new hires, terminations, and benefits deductions
- Respond to payroll-related inquiries from employees
Accounts Payable Duties
- Process vendor invoices, ensuring proper coding and approval
- Prepare and execute check runs, ACH, and wire payments
- Maintain accurate vendor records and resolve invoice discrepancies
- Reconcile vendor statements and accounts payable ledger
- Ensure compliance with company policies and internal controls
- Assist with month-end closing processes related to AP
- Prepare reports on payables and cash flow as needed
Qualifications
- Associate's or Bachelor's degree in Accounting, Finance, or related field (preferred)
- 2-5 years of payroll and/or accounts payable experience
- Familiarity with payroll systems (e.g., ADP, Paychex) and accounting software (e.g., QuickBooks, SAP, Oracle)
- Strong understanding of payroll tax regulations and accounting principles
- Proficiency in Microsoft Excel and other MS Office tools
- High attention to detail and strong organizational skills
